Camps: terms of payment and cancellation

The camp price includes full room and board at the camp, care and supervision by the supervisors, primary accident insurance, and a program including lots of fun and enjoyment using the entire resources of the camp. Tent accommodation is provided during the summer and indoor accommodation during the winter (“sleep away” camps only).

Camp transportation and other possible extra services are reserved according to requirement. These are not included in the price of the camp period.

Payment

Most camp reservations can be paid in connection with booking online using the online banking system or the most usual debit or credit cards. A camp reservation can also be paid by PDF invoice sent by email, or with an invoice delivered by post. All payment methods with the exception of an invoice delivered by post are free of charge.

Payment by invoice (email or post) is as follows:

  • if more than 28 days (four weeks) before the start of the camp period, the invoice must be paid within 14 days from the date of the invoice.
  • if 14–28 days (two to four weeks) before the start of the camp period, the invoice must be paid no later than 14 days before the start of the camp period.
  • if 14 days or less before the start of the camp period, the invoice must be paid immediately when received by the client (by email or post).
    • if five (5) days or less before the start of the camp period and the invoice is paid as an account transfer, the client should provide a receipt of the payment as, e.g. an online banking print-out / PDF file sent to our office email address or as a paper receipt to the camp site.
  • A booking by payment link or direct payment is paid immediately as an online payment or credit card remittance through your own online bank.

Cancellation

The reserved camp period can be cancelled by completing a cancellation notice to Leirikesä ry’s office:

  • by post with a freely worded cancellation message to the following address: Leirikesä ry, Töölönkatu 55, 00250 Helsinki

Cancellations should always be made to Leirikesä ry’s Helsinki office! Cancellations cannot be made in spoken form or as text or WhatsApp message.

With regard to cancellation, a payment already made for a camp booking will be refunded after possible cancellation charges applied to the bank account reported by the client. Possible booking-related office and revision charges will not be returned in connection with a cancellation.

  • if the cancellation is made within 14 days of the invoice date, the cancellation is always free of charge (EUR 0).
  • Cancellation made by 1 March (i.e. 01/03 23:59) but later than within 14 days of the invoice date will be subject to an office fee totalling EUR 10.
  • In paying by invoice (email or post), cancellation handled after the due date is always subject to an office fee totalling EUR 10.
  • After 1 March (i.e. 02/03 starting 00:00), all camp reservations become binding: i.e. the cancellation fee will total 100% of the camp period price.
  • In new reservations made on 2 March or afterwards, however, it will still be possible to cancel within 14 days of the invoice date free of charge (EUR 0).
  • If the client does not wish to participate in the camp and has not cancelled the damp period reserved in accordance with the cancellation terms, cancellation will be subject to a cancellation fee totalling 100% of the camp period price.

If the number of clients registered in any camp period is, by 3 April (03/04), below 15 (14 clients or less), the camp period will be cancelled and the money paid will be returned to the clients.

Illness: A camp period can still be cancelled before the camp starts due to an acute case of illness. In cases of illness, the amount paid for the camp period will be refunded to the client, reduced by the price list-based office fees. The requirement for refund is a medical certificate delivered to the Leirikesä ry office. The medical certificate should show the obstacle to participating in the camp during the period concerned.

  • Also in this case, the cancellation notice should be made before the camp starts. The condition for cancellation is delivery of the medical certificate to Leirikesä’s office in Helsinki: Leirikesä ry, Töölönkatu 55, FI-00250 Helsinki

A refund can be obtained from the cancellation also on 2 March or afterwards if the camp period is completely booked up and registered clients are on the camp period waiting list.

  • The client may switch his/her reservation to another person if this is arranged with the Leirikesä office. The Leirikesä office will already transfer the amount of the invoice paid to the new client’s bill. If you wish to transfer your reservation to another person, please contact the Leirikesä office.

Changing the reservation

Terms and conditions of cancellation are applied to changing a camp reservation.

  • Changing a reservation within 14 days from the date of the original invoice is free of charge (EUR 0).
  • Cancellation made by 1 March (i.e. 01/03 23:59) but later than within 14 days of the invoice date will be subject to an office fee totalling EUR 10.
  • In paying by invoice (email or post), cancellation handled after the due date is always subject to an office fee totalling EUR 10.
  • With the camp reservation becoming binding as of 1 March, the amount of the original invoice must be paid in full. In this case, it is no longer possible to obtain a refund. Changes are subject to a fee of EUR 10.

Interruption of camp experience

Sometimes a child’s camp experience is interrupted. There can be many reasons for such an interruption, for example:

  • the family wants the child to come home
  • the child wishes to go home
  • the child becomes ill while at camp
  • the child harasses or is harassed by another child
  • the child is found to have intoxicants in his/her possession

In these situations, notification is made to the home and the child must then be picked up from the camp to go home. In the cases described and in other similar instances, the camp fees are not refunded.

Other support for camp fees

Several municipalities reserve funds for child holiday activities, so it is advisable to apply for assistance from your own municipality. Ask for more information from your social worker. Please note that a camp application is always made to Leirikesä but payment support (i.e. social administration payment commitment) is applied for separately from the municipality.

We bill for payment commitments directly from the issuer (the amount of the invoice sent to the municipality may differ from the invoice sent to the family: more information is available from the office if required).
